Executing Precision Transport for Oversized Frying Equipment Across the U.S.

The Challenge

Transporting Oversized Equipment Across State Lines

A leading food processing equipment manufacturer needed to transport large, specialized machinery from Oregon to a major frozen food production facility in South Dakota. Because the equipment was oversized and engineered to precise specifications, the shipment required detailed coordination across every stage of the move.

The route spanned multiple states and required continuous escort due to over-dimensional regulations. Pilot cars, permits, routing restrictions, and scheduling all had to align closely to keep the shipment moving safely and efficiently over a long distance.

The move also required a stretch step-deck trailer, crane loading and unloading, and carefully coordinated timing between all vendors involved. With crane rentals alone costing between $20,000 and $30,000 per day, avoiding delays was an important part of keeping the project on schedule and within budget.

At the same time, ongoing market conditions—including fuel costs and limited specialized capacity—added additional pressure to planning. The customer needed a logistics partner experienced in managing oversized freight moves with multiple variables, tight coordination requirements, and little room for disruption.

The Solution

Every stage of this project required detailed planning, communication, and flexibility. OpenRoad coordinated the transportation strategy from pickup through delivery while managing the operational details required for a fully escorted oversized move.

  • Specialized transportation planning: Reviewed machine drawings and dimensions to determine trailer specifications, routing requirements, and permitting needs.
  • Full escort coordination: Arranged permits, pilot cars, and route planning for the full Oregon-to-South Dakota journey, accounting for state-by-state regulations and restrictions.
  • Vendor and schedule alignment: Coordinated closely with crane, rigging, and transportation partners to align loading, staging, and transit schedules.
  • Proactive communication: Maintained regular updates with the customer and service providers throughout the shipment to keep every stage of the project aligned and moving efficiently.
  • On-site operational oversight: OpenRoad team members were physically present during loading to monitor the process firsthand and help ensure the shipment stayed on track.

Highlight: Managing a Fully Escorted Cross-Country Move

Successfully moving oversized freight across multiple states requires more than securing the right equipment. It also requires the ability to adapt quickly when conditions change.

  • Real-time problem solving: During loading, a rigging issue required last-minute adjustments to the lifting configuration, creating delays that could have impacted the transportation schedule.
  • On-site decision making: Because OpenRoad team members were present during pickup, the team was able to quickly assess the situation and adjust the transportation plan in real time.
  • Flexible staging and departure planning: Rather than moving the shipment to Portland as originally planned, OpenRoad reorganized staging and departure logistics to keep the equipment at the facility site while maintaining the original Monday departure timeline.
  • Maintaining project momentum: Through close coordination and experienced oversight, the shipment continued forward without impacting the final delivery schedule.
